Steps
In ChatGPT, add the Intuit QuickBooks app. Intuit says it connects your QuickBooks Online account so you can ask about invoices, payroll and more.
Sign in through Intuit's own screen. Never paste your QuickBooks password into a chat or give it to a third-party bot.
Start with questions: unpaid invoices over 30 days, spending by category this month, uncategorized transactions.
Ask for suggested categories as a list with a reason for each, using the prompt below.
Make the changes yourself in QuickBooks, checking each one.
Check the training setting in ChatGPT's data controls before you connect financial data.
The prompt
Using my connected QuickBooks Online account, read only. Do not change anything.
1. List uncategorized transactions from [MONTH]: date, payee, amount.
2. For each, suggest a category from my existing chart of accounts and give a one-line reason.
3. Mark LOW CONFIDENCE where the payee is unclear.
4. Separately, list invoices more than 30 days overdue with customer and amount.
If you cannot see something, say so instead of guessing.
Tips
Start read-only and keep it that way until the suggestions are reliable.
Ask for reasons; a category without a reason is a guess.
