Quick answer
Export two to four weeks of calendar data and let AI categorize every recurring meeting: keep, shorten, delegate, or kill. Most people find hours a week they did not know they were losing.

Basis (estimate): Estimate only: one source reports most people find at least 5 hours a week of negotiable meeting time; assumes you act on half of what the audit flags.
What does this setup do?
Score every recurring meeting on your calendar and produce a keep / shorten / delegate / kill list with reclaimed hours.
Who is it for?
People who end most days wondering where the time went, with a calendar full of recurring meetings nobody remembers starting.
How do you set it up?
Tools
- ChatGPT or Claude (free tier works)
- Calendar export from Google Calendar or Outlook
Steps
- Export the last 2–4 weeks from Google Calendar or Outlook (settings, export, or copy the events into a sheet).
- For recurring meetings, note the real purpose in one line each. "Weekly sync" is not a purpose.
- Ask the chatbot to score every recurring meeting: does it still serve a current need, do you need to be there, could it be shorter or async?
- Sort the results into four buckets: keep, shorten, delegate, kill.
- Act on the easy kills first. Decline one meeting this week. Shorten one from 60 to 30 minutes.
- Repeat quarterly. Calendars grow meetings like gardens grow weeds.
Example output
Illustrative. Your results will differ.
- This week: 6 bookings, 2 open slots left
- Reminder drafts ready for tomorrow's appointments
- You confirm before anything goes out.

Audit my calendar. Find me hours I am wasting.
HERE ARE MY RECURRING MEETINGS (title, length, frequency, attendees, my best guess at purpose):
[paste your list]
And here is what a typical week looks like:
[paste or describe]
For each recurring meeting, give me:
1. A verdict: KEEP, SHORTEN, DELEGATE, or KILL, with one line of reasoning.
2. If SHORTEN: the new length and what to cut from the agenda.
3. If KILL: what to replace it with (async update, document, nothing).
Then total up the hours per week I could reclaim. Be blunt. If a meeting exists because "we have always had it," say so.Newsletter

What usually goes wrong?
Where agents tend to stall on this job. More patterns in Where AI gets stuck.
- Auditing and not acting. The audit is step one. Declining the meeting is the setup.
- Killing meetings you secretly like. Be honest about which ones are social hours wearing a work costume.
- AI cannot see meeting quality. It scores from your descriptions. "Weekly sync, not sure why" will get flagged, and rightly so.

Common questions
- What if my boss owns the meeting?
- Then the verdict is SHORTEN or DELEGATE, not KILL. Propose a shorter format or an async update. Framing it as "can I get this in 15 minutes" works better than declining.
- How often should I audit?
- Quarterly. Calendars accumulate meetings constantly. Fifteen minutes four times a year holds the line.
- Does this work for personal calendars too?
- Yes. Same buckets. Subscriptions, standing social plans, and recurring errands all deserve the question: does this still earn its slot?
What tips make it smoother?
- Audit a typical week, not a crazy one. You are looking for structural waste, not exceptions.
- Start with the kills. One declined meeting this week proves the method.
- Replace killed meetings with something, even if that something is nothing. A vacuum refills.
- Ask what each meeting costs in people-hours. A weekly hour with eight people is a full workday.
