Quick answer

Archive everything older than 30 days, send a short note to key contacts saying anything important should be resent, and set up filters plus a daily triage habit so the pile never grows back.

ChatGPT
Typical cost
Free. Archiving and filters are built into Gmail and Outlook. ChatGPT free tier writes the note.

Basis (estimate): Based on archiving in bulk versus reading 5,000 emails at even 10 seconds each, which is about 14 hours of reading before you have done a single reply.

What does this setup do?

Resets an unmanageable inbox to zero in about an hour

Who is it for?

Anyone with thousands of unread emails who gave up answering them months ago

How do you set it up?

Tools

  • Gmail or Outlook (free)
  • ChatGPT (free tier works) to draft the resend note
  • About one hour of focused time with notifications off

Steps

  1. Turn off notifications. You cannot drain the tub while the faucet is running.
  2. Sort by sender and pull out anything from your boss, key clients, or your accountant from the last 30 days. Reply to at most ten. If this takes more than 15 minutes, move on.
  3. Select everything older than 30 days, mark it read, and archive it (Gmail) or move it to a folder called "Old Inbox". Archive, never delete: you can still search it.
  4. Send the short resend note to your key contacts, or add a line to your signature for two weeks: "Inbox reset Oct 18. If I missed your email, please resend it."
  5. Unsubscribe from every newsletter you have not opened in a month. Use your email search for "unsubscribe" and be ruthless.
  6. Create two or three Gmail filters: newsletters skip the inbox into a Newsletters label, receipts into a Receipts label. You can read them on your schedule.
  7. Adopt the daily rule: touch each new email once. Reply, archive, or put it on a to-do list. Never let it sit "for later" again.

Example output

Illustrative. Your results will differ.

  • Your input turned into a clear, prioritized plan
  • Next 3 actions with dates, in priority order
  • You stay in charge. The agent just organizes.

Help me declare email bankruptcy and reset my inbox. I have about [NUMBER] unread emails. Here is the plan:

1. Draft a short, honest note I can send to about 10 key contacts ([NAMES OR ROLES, e.g. boss, biggest client, accountant]). It should say: I archived everything older than [DATE] to reset my inbox, nothing was answered, and I will not pretend otherwise. If anything still needs me, please resend it.
2. Write a one-line addition for my email signature I can keep for two weeks: something like "Inbox reset [DATE]. If I missed your email, please resend."
3. Suggest 5 Gmail filters I should create this week to stop the pile growing back, based on these noise sources: [LIST YOUR NOISIEST SENDERS, e.g. newsletters, order confirmations, automated reports].

Keep everything plain and honest. No jargon.

What usually goes wrong?

Where agents tend to stall on this job. More patterns in Where AI gets stuck.

  • Skipping the resend note for VIPs. Your boss deserves a heads-up; the newsletter list does not.
  • Trying to "quickly scan" before archiving. That is how 5,000 became 5,000. Archive first, search later if needed.
  • Creating filters that are too broad and archiving real email. Run new filters as label-only for a week before adding skip-inbox.
  • Declaring bankruptcy on a shared or team inbox. If others depend on those emails, coordinate first; this is a personal-inbox tool.

Common questions

Will I lose anything important?
You archive, not delete, so everything stays searchable. And anything that truly matters will resurface: people follow up on real problems. What disappears is the guilt about newsletters from 2023.
Is email bankruptcy unprofessional?
Less professional than never answering anyone, which is where you are now. A short honest note to key contacts is more respectful than silence. Most people will understand; many have done it themselves.
What if I have legal or financial emails in there?
Search first for invoices, contracts, and tax documents and move those to a separate folder before archiving. Better: make "financial" a filter and label going forward so this never happens again.

What tips make it smoother?

  • Archive, do not delete. The archive is searchable forever, which removes the fear.
  • Anything truly urgent will come back. The boss will call. The client will resend. The newsletter will not be missed.
  • Bankruptcy without new habits lasts three months. The filters and the daily touch-once rule are the actual fix.
  • Do the whole thing in one sitting. Half a bankruptcy is just an inbox with a new folder in it.
