How to use AI to find new clients for a small cleaning business

ResearchedWhat this sticker meansBeginnerSmall business

Last updated:

Quick answer

Paste your service area, services, and proof points into an AI bot, ask it to build a prospect table from public business listings (property managers, offices, short-term rentals, realtors), draft one short intro per row, and stop. You review every row and send each message yourself.

What it is allowed to do
Drafts for you

Writes drafts (emails, posts, plans, replies). You review and send. Nothing goes out without you.

Tools needed

Typical cost
Chat or agent: free tiers often enough for a table batch; paid browse plans may apply. Google Sheets: free tier usually sufficient.

Basis (estimate): Not stated in sources.

What does this setup do?

Rebuild local pipeline after lost accounts: research who might need recurring or move-out cleans, log them in a sheet, and get draft intros, not automated email blasts or DMs.

Who is it for?

Owner-operators of residential or commercial cleaning companies who know their craft but do not have time to hunt leads by hand after a slow season.

How do you set it up?

Tools

  • ChatGPT, Claude, Gemini, or another AI bot with browse/search if your plan allows
  • Google Sheet or CSV: business name, type, city, public contact, source link, status, draft intro
  • Your real service list, neighborhoods, and licensing or insurance facts you can state honestly

Steps

  1. Write facts only: services (recurring, move-out, commercial), cities, crew size, what makes you different (insured, eco products, etc.).
  2. Ask the bot for prospect types that fit. Property managers, dental offices, Airbnb hosts, realtors, not scraped personal emails from social media.
  3. Require a table with a public source link per row (directory, company site, or licensed listing). No invented phone numbers.
  4. For each approved row, request a 3–4 sentence intro in plain language; you personalize and send from your email or phone.
  5. Track status in the sheet: researched, drafted, sent, replied, not a fit.
  6. When someone replies, switch to the capture-leads setup for quotes and follow-up, not more cold drafts.

Example output

Illustrative. Your results will differ.

  • 3 new leads logged from this week's inbox
  • 1 follow-up draft ready for the lead waiting longest
  • You review and send. Nothing goes out on its own.

LOCAL CLEANING CLIENT RESEARCH (draft-only outreach)

My business facts (use only these: do not invent credentials):
[paste services, cities, years in business, insurance/bonding if true, website]

Task:
1) List 15–25 prospect organizations in [city/region] that plausibly need cleaning: property managers, offices, short-term rental operators, realtors (for move-out cleans), etc.
2) Output a table: business name | type | city | public contact method | source URL | why they might fit | draft intro (3 sentences max).
3) Rules: public sources only; no scraping personal emails from social profiles; no sending mail or DMs: drafts for me only.
4) Flag rows where contact info is unclear so I verify manually.
5) End with 3 follow-up angles I can use when someone says "send your rates."

I will review every intro and send messages myself. Check local rules on commercial email/text before I contact anyone.

What usually goes wrong?

Where agents tend to stall on this job. More patterns in Where AI gets stuck.

  • Bots hallucinate contacts. Delete any row without a source link you can open.
  • Cold email and text rules vary by country and state; this setup does not auto-send and is not legal advice.
  • One viral “find clients” prompt does not replace referrals; expect to send many reviewed intros for a few replies.
  • Do not upload tenant lists or private client data into chat. Prospects are public businesses only.

Which chat tools work with this prompt?

Paste the prompt into any of these assistants (free or paid tiers).

Common questions

Can AI find cleaning clients automatically?
It can suggest a researched prospect list and draft intros from public info. You still verify contacts, comply with outreach rules, and send every message yourself in this setup.
Should the bot email prospects for me?
No. Auto-email and auto-DM are out of scope. You send after you edit each draft.
What sources are OK for prospects?
Business directories, company websites, licensed listing pages, and similar public pages, not personal social inboxes or purchased email lists.
How is this different from a lead-gen website?
This is outbound research for a defined local list. Inbound leads from a site belong in build-a-lead-gen-site-with-an-ai-bot and capture-leads-and-follow-up-quotes.
Will this replace word-of-mouth?
No. It supplements referrals with a sheet you control; results depend on offer, pricing, and how many reviewed intros you actually send.

Where should you go next on this site?

What tips make it smoother?

  • Batch by neighborhood so you can mention local landmarks honestly.
  • Reuse one intro skeleton; change the first sentence to show you looked at their site.
  • After a yes, log the thread in capture-leads-and-follow-up-quotes.

Capture estimate leads and draft quote follow-ups

Log every estimate or quote request into a tracking sheet, then draft follow-ups when a lead has waited too long for a quote, without auto-sending mail.
