Quick answer
Once a month, export your transactions and let the AI categorize them, flag the odd ones, and summarize the month. You review and approve everything.

Basis (estimate): Your own estimate: manually categorizing a few hundred transactions in a spreadsheet vs reviewing an AI draft. Not measured, just honest math.
What does this setup do?
Run a monthly bookkeeping close: categorize transactions, spot problems, summarize the month
Who is it for?
A small business owner whose bookkeeping is 3 months behind and dreads tax time
How do you set it up?
Tools
- ChatGPT or Claude (free tier works)
- Monthly bank and card statements as CSV exports
- Your list of expense categories, or let the AI suggest Schedule C buckets
Steps
- Export last month's transactions from your bank and cards as CSV. Most banks have an export button.
- Remove or mask full account numbers before uploading anything to a chatbot.
- Paste the prompt below and upload the CSV files.
- The AI categorizes each transaction and flags ones it is unsure about.
- Review every flagged transaction yourself. This is the part you cannot skip.
- Ask the AI for a month summary: total income, total expenses, biggest categories, anything unusual.
- Save the categorized file and the summary in a folder named for the month. Done until next month.
- After categorizing, run the reconciliation pass: match each transaction in your books to the same entry on the bank statement, line by line, and mark what matches. List everything left over on either side.
- For the leftovers, add bank fees and interest you missed to your books, and keep a short list of outstanding checks and deposits in transit that explain the gap. The adjusted balances must match to the cent before you close the month.
Example output
Illustrative. Your results will differ.
- Your input turned into a clear, prioritized plan
- Next 3 actions with dates, in priority order
- You stay in charge. The agent just organizes.

I am doing my monthly bookkeeping. I have attached CSV exports of last month's business bank and credit card transactions. Categorize each transaction into these buckets: [LIST YOUR CATEGORIES, or use: advertising, supplies, software, travel, meals, rent, utilities, contractors, other]. Flag any transaction you are unsure about and tell me why. Then give me a summary: total income, total expenses, net for the month, the three biggest expense categories, and anything that looks unusual compared to a normal month.Newsletter

What usually goes wrong?
Where agents tend to stall on this job. More patterns in Where AI gets stuck.
- The AI miscategorizes ambiguous transactions, like a big-box store run that was half supplies, half personal. Review the flags.
- Uploading statements with full account numbers. Strip them first.
- Skipping the review and trusting the AI completely. It is a draft, not a bookkeeper.
- Doing it quarterly instead of monthly. Small errors compound. Monthly takes an hour; quarterly takes a weekend.
- Closing the month with an unexplained gap. An unresolved difference is a signal, not a rounding error. Go back through the unmatched items.

Common questions
- Is it safe to upload bank statements to ChatGPT?
- Export CSVs and remove full account numbers first. Never paste passwords or login details. For most small businesses this is fine, but if you handle other people's money, check your obligations first.
- Does this replace a bookkeeper?
- No. It replaces the pile-up. If you are months behind or unsure about reconciliations, hire a bookkeeper for cleanup, then use this to stay current.
- What about receipts?
- Snap photos of paper receipts monthly and keep them in the same folder. The AI categorization plus the receipt photos is enough for most small businesses. Ask your accountant if you need more.
- What does it mean if my balances do not match?
- Something is unmatched: an outstanding check, a deposit in transit, a bank fee you never recorded, or a data entry slip like a transposed number. Go back through the unmatched list until the difference is zero.
Where should you go next on this site?
What tips make it smoother?
- Do it on the same day each month, like the 5th. Routine beats motivation.
- Never paste full bank account numbers or login credentials into a chatbot. CSV exports do not need them.
- Keep a running list of your categories and reuse it. Consistency is what makes year-end easy.
- Write a two-line note about anything unusual each month. Future you will thank present you.
- Sort both lists by amount while matching. A transposed number, like 54 typed as 45, shows up fast when the neighbors sit side by side.
