Quick answer

Give the AI your monthly costs, your tax estimate, and how many hours you can actually bill. It works out the lowest price you can accept, then builds a quote from there.

What it is allowed to do
Read-only

Only reads, researches, or summarizes. It never drafts outbound content or changes anything.

Typical cost
Free tiers of ChatGPT or Claude handle this. No paid plan needed.

Basis (estimate): Your own estimate: doing the rate math in a spreadsheet by hand and second-guessing it vs one guided AI session. Not measured.

What does this setup do?

Calculate a defensible price floor and build quotes that cover costs, taxes, and profit

Who is it for?

A freelancer or contractor who prices by gut feel and ends up busy but broke

How do you set it up?

Tools

  • ChatGPT or Claude (free tier works)
  • Your monthly personal and business expenses, roughly
  • A guess at your tax rate (the AI can suggest a planning number, your accountant confirms it)

Steps

  1. List your monthly living costs and monthly business costs. Rough numbers are fine for round one.
  2. Estimate your billable hours per month. Be honest: most freelancers bill 15 to 25 hours a week, not 40.
  3. Paste the prompt below with your numbers.
  4. The AI gives you a price floor: the rate below which the job costs you money.
  5. Describe the job: scope, deliverables, revision rounds. The AI builds a project quote from the floor up.
  6. Add a 15 to 20 percent buffer for scope creep and revisions.
  7. Sanity-check the result against your market. The floor is math, the final price is positioning.

Example output

Illustrative. Your results will differ.

  • This month's spending sorted into 6 categories
  • 3 subscriptions you forgot about, flagged for review
  • You decide what to cut. Nothing moves on its own.

Adapt bracketed fields to your situation.

Help me price a freelance job. My monthly living costs are $[X]. My monthly business costs are $[Y] (software, insurance, etc). I can realistically bill [Z] hours per month. For taxes, use a planning rate of [T]%. First, calculate my minimum hourly rate: (monthly living costs + monthly business costs) divided by (1 - tax rate), divided by billable hours. Show the math. Then price this job: [DESCRIBE THE JOB, DELIVERABLES, REVISION ROUNDS]. Give me a project price with a 15% buffer, and tell me what my floor is so I know where I cannot go below.

What usually goes wrong?

Where agents tend to stall on this job. More patterns in Where AI gets stuck.

  • Using 40 billable hours a week in the math. You do not bill 40 hours. Use your real number.
  • Treating the tax planning rate as tax advice. It is a planning guess. Your accountant sets the real number.
  • Forgetting unpaid work: proposals, admin, revisions. The buffer exists for exactly this.
  • Pricing from a competitor's rate instead of your own costs. Their costs are not yours.

Common questions

Hourly or project pricing?
Project pricing, usually. Hourly punishes you for getting faster. Use your hourly floor privately to build the quote, then present one number.
What if my floor is higher than the market will pay?
Then the job is wrong for your cost structure. Either cut your costs, find better-paying clients, or accept it knowingly as a strategic discount, not by accident.
How do I estimate my tax rate?
Use a rough planning number for the math, then confirm with your accountant. Self-employment tax alone is about 15.3 percent on top of income tax.

What tips make it smoother?

  • Your floor is not your price. It is the number below which you lose money. Price above it with confidence.
  • Revisit the math every 6 to 12 months. Costs creep and your rate should move with them.
  • When a client says the price is too high, cut scope, not your rate. Fewer deliverables, same rate.
  • Require a deposit, usually 50 percent on project work. It filters out unserious clients.

Turn messy income and bill numbers into a monthly budget template with categories, caps, and a short “if you only fix three things” list, without the model guessing your balances or moving money.
