Quick answer
I paste the review text, my business facts, and the tone I want into ChatGPT, get a short reply draft for one-star and five-star cases, then I post it myself in Google Business Profile. Never auto-publish.

What does this setup do?
Draft on-brand replies to Google reviews. Thank happy customers, de-escalate angry ones, and invite offline resolution, without letting an agent post as your business or invent policies you do not offer.
Who is it for?
Small business owners who know they should answer reviews but stall on the angry ones, or who copy-paste the same “thanks!” line until it sounds robotic.
How do you set it up?
Tools
- Google Business Profile (you click Post on each reply)
- ChatGPT, Claude, or Gemini
- A short fact sheet: business name, owner name, phone, refund or redo policy you actually honor
- Optional: saved snippets for hours, parking, and common service issues
Steps
- Copy the review text and star rating into chat. Include the date if Google shows it.
- Paste your fact sheet and tone rules (warm, brief, no legal threats, no bribing for edits).
- Ask for two drafts under 80 words: one public reply, one optional private follow-up note you might send by email.
- For 1–2 star reviews, require empathy, one specific fix you can offer, and an offline contact path. No arguing in public.
- Read for HIPAA, PCI, or client confidentiality if the review names a person or order.
- Paste into Google Business Profile and post yourself; do not connect send or GBP write access to an agent.
Example output
Illustrative. Your results will differ.
- 5 new reviews found: 4 positive, 1 needs a reply
- Reply draft ready for the unhappy one
- You approve every reply before it posts.

You draft Google review replies for my business. Do not post to Google or send email unless I paste your text myself.
Business facts (only use these: do not invent policies):
[paste name, location, phone, hours, real redo/refund policy]
Tone: [friendly and brief / formal / apologetic but firm]
Max length: 80 words per public reply
Review to answer:
Rating: [1-5 stars]
Text: [paste review]
Rules:
- Thank the reviewer by name if shown.
- For low stars: apologize for their experience, offer one concrete next step we can actually do, invite them to call/email: no discounts unless listed in business facts.
- For high stars: thank them and mention one specific detail from their review.
- No legal threats, no asking them to change the review, no sharing private customer data.
- Output public reply only unless I ask for a private follow-up draft.Newsletter

What usually goes wrong?
Where agents tend to stall on this job. More patterns in Where AI gets stuck.
- Drafts can sound corporate or passive-aggressive. Read aloud before you post.
- Never confirm private order details in a public reply; keep it vague and move offline.
- Google’s policies still apply to your text. AI does not know your industry’s compliance rules.
Which chat tools work with this prompt?
Paste the prompt into any of these assistants (free or paid tiers).

Common questions
- use ai to respond to google reviews
- Paste each review and your real business policies into chat, ask for a short on-brand reply, and post it yourself in Google Business Profile. Public guides recommend human review before publish. No auto-posting tools required for this pattern.
- can ai respond to google reviews
- AI can draft text, but Google expects the business owner or authorized manager to post the reply. This setup keeps posting manual so tone, privacy, and policy stay under your control.
- Should I argue with a bad review in public?
- Usually no. Acknowledge, offer offline help, and keep the public reply short. Let a human decide if a factual correction is worth stating.
Where should you go next on this site?
What tips make it smoother?
- Honest limitation: it has not met your customer. You fix tone and facts, especially on 1-star threads.
- Keep a one-page policy doc so the model stops inventing refunds you never offered.
- Batch three reviews in one session but still post each reply manually.
- Pair with lead-capture setup if reviews mention slow quotes. You still answer by hand.
