Quick answer
Copy the email thread into ChatGPT or Claude and ask for three things: what was decided, what is still open, and who owns what. You get the thread's point in seconds instead of reading every reply.

What does this setup do?
Turns a sprawling email thread into a short decision summary
Who is it for?
An office worker who gets looped into long reply-all threads and needs the outcome fast
How do you set it up?
Tools
- ChatGPT or Claude (free tier works)
- The email thread, copied from your mail app
Steps
- Open the email thread in your mail app. Select all the text in the conversation and copy it.
- If the thread is very long, trim it: delete signature blocks, quoted disclaimers, and duplicate replies. Keep the actual messages in order.
- Open ChatGPT or Claude and paste the thread, then paste the prompt below above it.
- Read the summary. Focus on the 'Still open' and 'Owners' sections, since those tell you what needs action.
- Verify the summary against the thread before you act on it. AI can mix up who said what when many people share a first name.
- Do not paste threads with confidential company data, customer details, or legal matters into a free chatbot. Use your company's approved AI tool for those.
Example output
Illustrative. Your results will differ.
- 14 new emails sorted: 5 need you, the rest can wait
- Draft replies ready for the 5 that need you
- Nothing sends until you approve it.

Read this email thread and give me a short summary in exactly three sections. 1. DECIDED: what was decided, one bullet per decision. 2. STILL OPEN: questions or disagreements that are not resolved. 3. OWNERS: who agreed to do what, and by when if mentioned. Keep it under 200 words. Here is the thread: [PASTE THREAD]Newsletter

What usually goes wrong?
Where agents tend to stall on this job. More patterns in Where AI gets stuck.
- The AI invents a decision nobody made. Always verify every claim in the summary against the actual thread before forwarding it.
- The thread is too long to paste. Summarize each message separately first, then paste those summaries and ask for one combined recap.
- Names get mixed up. When two people have the same first name or reply inline, tell the AI to quote the speaker with each bullet.
- Confidential threads. Free chatbots may use your input for training. Strip or redact sensitive details, or use your company's approved AI instead.

Common questions
- Can I use this for legal or HR threads?
- You can get a summary, but do not paste anything sensitive into a free chatbot. Use your company's approved AI tool, and treat the summary as a starting point, not a record.
- What if the AI misses an important point?
- Ask a follow-up: 'Did anyone mention [topic]?' The first summary is a pass, not a guarantee. Skim the thread for anything the summary skipped.
- Is there a way to do this without copy and paste?
- Yes. Gmail add-ins and Outlook's built-in AI can summarize threads in place. This guide uses copy-paste because it works with any mail app and any plan, free included.
What tips make it smoother?
- Paste messages oldest to newest. The summary is clearer when the AI sees the conversation in order.
- Ask for a word limit. Without one, the summary can grow almost as long as the thread.
- For recurring threads, save the prompt as a text snippet so you do not retype it.
- Ask the AI who disagrees. That surfaces the hidden conflict faster than any section.
