Quick answer
If your Google plan includes it, type =AI("your prompt", range) in a cell or open the Gemini side panel to build a whole sheet from a sentence. It categorizes, summarizes, and fills columns from your data.

What does this setup do?
Use Gemini inside Google Sheets: AI formulas that categorize and summarize row by row, plus a side panel that builds sheets and dashboards from prompts.
Who is it for?
People living in Google Sheets who want AI help without exporting data to another tool.
How do you set it up?
Tools
- Google Sheets in a browser
- An eligible Google Workspace or Google AI plan (required for the AI features, per Google)
- A sheet with real data to work on
Steps
- Confirm you have access. Google requires an eligible Google Workspace or Google AI plan for the AI features; if a cell shows "AI function not available," check your plan, admin settings, or language setting.
- Try the cell formula first: type =AI("prompt", range) or =Gemini() in a cell. Google documents uses like generating text, summarizing, categorizing, and analyzing sentiment, plus real-time info from Google Search.
- Add an AI column to a table: the first non-header row shows the AI function automatically, and you can autofill it down the column.
- For bigger jobs, open the Gemini side panel and use Build. Type a prompt to generate a new sheet, like a monthly expense tracker, or run an end-to-end task on an existing sheet, like a full data analysis or a visual dashboard.
- Keep the data the AI needs on the current sheet. Google states the AI function does not see the whole spreadsheet or other Drive files, so pass needed data through the range argument.
- Regenerate instead of undoing. There is no undo or redo for AI output, only regenerate. Also note Google’s limits: only the first 350 selected AI-function cells generate at once, and heavy use can pause generation for about 24 hours.
- Save Excel files as Google Sheets first (File, then Save as Google Sheets) if you want the side panel to work at its best.
Example output
Illustrative. Your results will differ.
- Your input turned into a clear, prioritized plan
- Next 3 actions with dates, in priority order
- You stay in charge. The agent just organizes.

Copy-paste prompt
Adapt bracketed fields to your situation.
You are helping me use Gemini inside Google Sheets. My task:
Sheet contents: [paste a few sample rows or describe the columns, e.g. "Column A: customer name, Column B: support ticket text, 200 rows"]
What I want: [e.g. "categorize each ticket as billing, technical, or shipping, and flag the angry ones"]
Give me:
1. The exact =AI() formula to put in the first cell, with the prompt text and range filled in.
2. What to expect: what the output looks like and how to autofill it down.
3. Two things that could go wrong with this specific task, based on Gemini’s documented limits.

What usually goes wrong?
Where agents tend to stall on this job. More patterns in Where AI gets stuck.
- The AI function cannot see the whole spreadsheet. If your prompt references data on another tab, it will fail or hallucinate. Move the data over or pass it in the range.
- Hitting the generation cap mid-task. Only the first 350 selected AI-function cells generate at once, and heavy use can lock you out for about a day. Batch large jobs.
- Assuming the output is always right. Categorization and sentiment are judgment calls; spot-check a sample before trusting the column.

Common questions
- Do I need a paid Google plan?
- Yes, an eligible Google Workspace or Google AI plan is required. Google does not name the exact qualifying plans on the help pages, so check your account or admin.
- Can Gemini read my whole spreadsheet?
- No. Google states the AI function does not see the whole spreadsheet or other Drive files. Keep the data it needs on the current sheet and pass it through the range argument.
- What happens if I use it too much?
- Google documents limits: only the first 350 selected AI-function cells generate at once, and long-term generation limits can block the Generate button for about 24 hours.
What tips make it smoother?
- Write the prompt like a column definition: input, categories, output format. "Categorize each ticket as billing, technical, or shipping. Reply with one word." beats a paragraph.
- Put the source data on the same sheet. The AI function cannot see other sheets or Drive files, so the range argument is doing real work.
- Test the formula on ten rows before autofilling hundreds. Regeneration is the only fix, and generation limits are real.
