What does this setup do?

Get one weekly list of what you promised people and what they promised you, built from email and meeting notes, with dates and no messages sent.

Who is it for?

Owners and managers who lose track of 'I'll send that Thursday' across email and calls. Skip anything covered by a client confidentiality agreement unless you are allowed to share it with an AI service.

How do you set it up?

Tools

  • ChatGPT or Claude
  • Gmail connected to the assistant, or a folder of pasted meeting notes
  • A repeating weekly reminder on your calendar

Steps

  1. Pick the window, such as the last 7 days of sent mail plus this week's meeting notes.
  2. Connect Gmail to the assistant, or paste the week's notes. Claude's help center says Gmail search and read are supported. For notes, a connector is not required.
  3. Run the prompt below. Check that each promise names who owes it and the date, if one was given.
  4. Fix the list by hand. Cross out what is done and add anything it missed.
  5. To repeat it, ask ChatGPT for a scheduled task. OpenAI's help says tasks can run once or on a schedule, and you choose Push or Email notifications. Scheduled tasks in Claude: Not stated in sources.
  6. Send any nudge yourself. The assistant only writes the list.
  7. After a month, count how many promises were missed before and after. Keep the count if it helps.

Example output

Illustrative. Your results will differ.

  • Owner to Dana: send revised quote, due Thu Nov 5 (thread: Roof estimate)
  • Dana to owner: confirm site access, no date given
  • Chase first: Dana's site access, because the job cannot start without it

Adapt bracketed fields to your situation.

Find open promises in my email and notes from [DATE RANGE]. Read only. Do not send, reply or change anything.

For each promise, give one line:
- Who promised: me or [PERSON]
- What was promised
- Date promised and due date, or 'no date given'
- Where it came from (thread subject or meeting)
- Status: open, done, or unclear

Rules:
- List only promises that are in the text. Do not invent due dates.
- Put promises with dates in the next 7 days first.
- At the end, list the 3 I should chase first, with one sentence on why. Do not write messages to anyone.

What usually goes wrong?

Where agents tend to stall on this job. More patterns in Where AI gets stuck.

  • The assistant can mistake a casual 'maybe' for a promise. Read the source line.
  • Meeting notes that name no owner give a list with no owner. Add names when you take notes.
  • Letting a nudge go out without reading it. This setup writes no messages.

Which chat tools work with this prompt?

Paste the prompt into any of these assistants (free or paid tiers).

  • ChatGPT
  • Claude

Common questions

Can the assistant message the people on the list?
It can only if you let it, and this setup does not. The prompt says read only. You send any follow-up yourself.
Does it read attachments?
Claude's help center says Gmail access includes attachment metadata but not attachment content. Paste the text of attachments you need included.
Can it run every week on its own?
ChatGPT's help center says scheduled tasks can run on a schedule. Whether Claude can: Not stated in sources.

What tips make it smoother?

  • OpenAI's help says a task created inside a project cannot use files stored in that project.
  • Run it on the same day each week so the list becomes a habit.
  • Ask for 'unclear' items to be shown separately so they do not look like promises.

Where do the claims come from?

  • Follow up on quotes that went cold

Draft a short follow-up sequence for quotes that got no reply: a day 2 check that it arrived, a day 7 nudge with something useful, a day 14 last check, and a day 21 message that closes the quote.

  • Meeting notes to action items and follow-up email

Paste messy meeting notes or a transcript and get decisions, owners, due dates, and a follow-up email draft you send yourself, without the model inventing commitments that were not in the notes.
