Quick answer

Feed the report to the AI and ask for a one-page executive summary: purpose, key findings, numbers that matter, and recommended actions. You get the gist without reading forty pages.

What it is allowed to do
Read-only

Only reads, researches, or summarizes. It never drafts outbound content or changes anything.

Tools needed
ChatGPT, Claude
Typical cost
Free tiers of ChatGPT or Claude handle this. Claude’s free tier is known for handling long documents well.

Basis (estimate): Estimate only: reading a 30 to 50 page report carefully and writing a summary by hand takes most people an afternoon; no timed study found.

What does this setup do?

Compress a long report, proposal, or document into a one-page brief with the purpose, findings, key numbers, and next steps.

Who is it for?

Anyone who gets handed long reports and needs the important parts before the meeting.

How do you set it up?

Tools

  • ChatGPT or Claude (Claude handles long documents well on the free tier)
  • The report as text, PDF, or pasted sections

Steps

  1. Get the report into text the AI can read. Paste it in chunks if it is very long.
  2. Tell the AI who the brief is for and what decision it needs to support.
  3. Ask for a one-page structure: purpose, key findings, numbers that matter, recommendations.
  4. Ask it to keep every claim tied to a page or section number so you can verify.
  5. Read the brief, then spot-check two or three claims against the original.
  6. If something looks wrong or invented, ask the AI to quote the exact passage it came from.

Example output

Illustrative. Your results will differ.

  • Your input turned into a clear, prioritized plan
  • Next 3 actions with dates, in priority order
  • You stay in charge. The agent just organizes.

Copy-paste prompt

Adapt bracketed fields to your situation.

Summarize the following report into a one-page brief.

The brief is for: [AUDIENCE, e.g. my manager, the board]
The decision it needs to support: [DECISION]

Structure it as:
1. Purpose: why this report exists, in two sentences.
2. Key findings: the five most important points, each one sentence.
3. Numbers that matter: every important figure, with the page or section it came from.
4. Recommendations: what the report suggests doing next.
5. Open questions: anything important the report does not answer.

Keep it to one page. Do not add information that is not in the report. If a section of the report is vague, say so instead of filling in the gaps.

What usually goes wrong?

Where agents tend to stall on this job. More patterns in Where AI gets stuck.

  • The AI can invent numbers that look right but are not in the report. Spot-check every figure that matters.
  • Vague source text produces confident-sounding filler. Ask it to flag what the report does not say.
  • Tables and charts often paste badly. Describe or retype key tables instead of pasting broken formatting.

Common questions

How long should the summary be?
About 10 percent of the original. A 40-page report gets roughly a page. If it runs longer, you are summarizing too much detail.
Can I trust the AI with confidential reports?
Check your company policy first. Many employers do not allow pasting internal documents into public AI tools. When in doubt, ask.
What if the AI gets a number wrong?
That is why you ask for page numbers on every figure. Verify anything you will repeat in a meeting.

What tips make it smoother?

  • Tell the AI the decision the brief supports. A summary for a budget meeting looks different from one for a strategy review.
  • Ask for page or section numbers on every number. That turns the brief into an index you can verify.
  • If the report is over the AI’s input limit, summarize it in chunks, then ask for a combined one-pager from the chunk summaries.
  • Read the recommendations section of the original yourself. That is the part people argue about.
