Quick answer

Give the AI your job notes and the customer outcome. It structures them into a short case study: problem, what you did, result, quote.

At a glance

All outcome figures are estimates from cited sources, not independent verification by us.

What it is allowed to do
Drafts for you

Writes drafts (emails, posts, plans, replies). You review and send. Nothing goes out without you.

Tools needed

Typical cost
Free tier of ChatGPT or Claude. Nothing to buy.

Basis (estimate): Estimate only: structuring notes into a publishable case study typically takes a couple of hours by hand; no timed study found.

What does this setup do?

Turn one finished job into a short, credible case study page: the problem, your approach, the result, and a customer quote.

Who is it for?

Service businesses that do great work but have nothing on their website proving it.

How do you set it up?

Tools

  • A chat AI (free tier works)
  • Notes from one finished job: what was wrong, what you did, how long it took
  • The outcome in concrete terms (time saved, problem solved, money figures only if the customer approves)
  • Customer permission to publish their name, or a plan to anonymize them

Steps

  1. Pick your best recent job: clear problem, clear result, happy customer.
  2. Ask the customer for permission to write it up. Offer to let them approve the draft.
  3. Write down the raw facts: the situation before, what you did step by step, what changed after.
  4. If you have numbers, confirm them with the customer. Never estimate a result.
  5. Paste the facts plus the prompt below into the AI.
  6. Send the draft to the customer for approval before publishing. Change anything they flag.
  7. Publish it on your site and link it from the relevant services page.

Example output

Illustrative. Your results will differ.

  • Study plan mapped to your exam date: 4 weeks
  • Daily sessions with built-in review days
  • Miss a day? The plan reshuffles itself.

Copy-paste prompt

Adapt bracketed fields to your situation.

Write a short case study for my website from these job facts. Plain language, no hype. Keep it under 400 words.

Business: [BUSINESS NAME]
Customer: [NAME or "a homeowner in [TOWN]" if anonymized]

The situation before (what was wrong):
[FACTS]

What I did (the approach, in plain terms):
[FACTS]

The result (only what I list here: do not invent numbers):
[FACTS, e.g. "drainage fixed in two days, basement dry through three heavy rains since"]

Customer quote (their exact words, or write "[QUOTE TO COME]" if I have not collected one yet):
[QUOTE OR PLACEHOLDER]

Structure:
1. Title: the outcome plus the customer type, e.g. "Dry basement for a [TOWN] homeowner".
2. One-paragraph summary: who, what was wrong, what changed.
3. The challenge: 2-4 bullets, specific and honest.
4. What I did: short paragraphs, decisions not jargon.
5. The result: the facts above, nothing more.
6. The customer quote.

Rules: every claim must come from my facts. If a number is not in my facts, do not include a number.

What usually goes wrong?

Where agents tend to stall on this job. More patterns in Where AI gets stuck.

  • Invented results. The AI will happily write "saved the customer thousands" if you let it. The prompt blocks this, but verify every number.
  • Publishing without customer approval. Always let them read it first. One surprised customer can cost you the relationship.
  • Writing about yourself instead of the problem. The customer is the hero. You are the guide who fixed it.

Common questions

What if I do not have hard numbers for the result?
Use concrete facts instead. "Fixed in two days" and "dry through three storms since" are results. Do not invent percentages or dollar figures.
How do I get the customer to agree?
Ask right after they tell you they are happy. Offer to let them approve the draft and to keep them anonymous. Most people say yes when you make it easy.
Where should the case study live?
On your website as its own page, linked from the matching services page. Then reuse it in quotes, follow-ups, and social posts.

What tips make it smoother?

  • Get permission in writing before you publish, even for happy customers. A quick text saying "okay to post this?" is enough.
  • One strong case study beats five vague ones. Pick the job with the clearest before and after.
  • Anonymous is fine. "A homeowner in Rutland" with real details is more credible than a named customer with fluff.
  • Reuse the case study everywhere: services page, quote follow-ups, social posts, the leave-behind.
