Quick answer
Export jobs, quotes and invoices as CSV from your field-service or CRM app once a week. Upload them and ask for a one-page report: revenue, jobs done, open quotes by age, unpaid invoices and customers who are due for repeat work. Check two numbers against the app before trusting it.

What does this setup do?
Turn a weekly CSV export from your field-service app into a one-page report on revenue, open quotes, unpaid invoices and repeat customers.
Who is it for?
Contractors and trades using a job or CRM app who never look at its reports because they take too long.
How do you set it up?
Tools
- Your field-service or CRM app's CSV export
- Claude or ChatGPT with file upload
- 15 minutes on Monday
Steps
- Find the export in your job app for jobs, quotes and invoices. Most apps offer CSV.
- Remove customer phone numbers and addresses you do not need for the report.
- Upload the files and run the prompt below. Anthropic says Claude can analyze uploaded CSV files and create Excel files with formulas.
- Check two numbers, such as total invoiced and unpaid total, against the app.
- Act on the lists: follow up on old quotes, chase unpaid invoices, contact repeat customers.
- Ask for the same layout every week so you can compare.
Example output
Illustrative. Your results will differ.
- Invoiced $18,400, collected $12,150, 23 jobs
- Open quotes over 30 days: 4, $9,800
- Repeat work due: 11 customers with last service Nov to Jan last year
- Odd: 2 completed jobs with no invoice

Copy-paste prompt
Adapt bracketed fields to your situation.
I uploaded last week's exports from my job app: jobs, quotes and invoices. Use only these files.
Give me one page:
1. Revenue invoiced, revenue collected, jobs completed
2. Open quotes by age: under 7 days, 7 to 30, over 30, with customer and amount
3. Unpaid invoices over 14 days, with customer and amount
4. Customers whose last job was 10 to 14 months ago (possible repeat work)
5. Anything odd: duplicates, jobs with no invoice

What usually goes wrong?
Where agents tend to stall on this job. More patterns in Where AI gets stuck.
- Exports with different date formats; tell the AI which format your app uses.
- Trusting totals without a check.
- Uploading full customer records when names and amounts are enough.

Common questions
- Can AI make reports from my field-service app?
- Yes, from the app's CSV export. Upload it and ask for the same one-page report each week.
- Do I need to connect the app?
- No. A weekly export works with any app and keeps the AI out of your live records.
- How do I know the numbers are right?
- Check two totals against the app each time.
What tips make it smoother?
- Jobs with no invoice are the quickest money found.
- Same layout every week makes trends obvious.
- Annual services like tune-ups make the repeat-work list valuable.
