Quick answer

Here's how I'd set this up in Grok Bot (not affiliated, and not run by us yet). One main bot keeps track of your connectors and routines and hands jobs to your other bots.

What does this setup do?

One bot works as your front desk: it knows what each of your other bots does, passes jobs to them, and sends you a Monday status on your routines.

Who is it for?

For anyone with several bots who has lost track of which routine runs where.

How do you set it up?

Tools

  • One main bot in Grok Bot. It remembers durable facts about your setup.
  • Your other bots are teammates. The main bot can message them and bring the result back.
  • Connectors for the services you already use, such as Gmail, Google Sheets, Google Calendar, Google Drive, Slack, GitHub, or Vercel. If one is missing, ask for it as a plugin and you approve the login.
  • Routines you create by asking in plain words. A skill is a saved instruction any of your bots can follow.
  • They share one cloud computer. Files and logins you set up there stay put.

Steps

  1. Pick one bot as the main one and tell it the names of the others and what each is for.
  2. Ask it to remember your connectors and your routines.
  3. When a job belongs to another bot, tell the main bot to message that teammate and report back in this chat.
  4. If a connector is missing, ask it to add the plugin, and you log in when it asks.
  5. If a job repeats, ask it to save a skill the other bots can follow.
  6. Ask for a Monday status: which routines ran, what failed, and which login you still need to approve.

Example output

Illustrative. Your results will differ.

  • Monday status: 4 routines ran, 1 needs a login
  • Handed the sheet update to the idea bot
  • Nothing sent without your yes.

Copy-paste prompt

Adapt bracketed fields to your situation.

You are my main bot. Remember my connectors, my routines, and the names of my other bots.

When I give you a job:
- If you can do it here, do it.
- If another bot of mine is a better fit, message that teammate and bring the result back to this chat.
- If a connector is missing, tell me in plain words and wait. Do not pretend you logged in.

Connectors I already use: [list them].
Other bots: [bot name and what it is for].

Rules:
- Do not post, reply, or send DMs on X.
- Do not text me. Reply in this chat. Slack is fine only if I already connected it.
- Do not send email or spend money unless I say yes in this chat.
- If a job repeats, save it as a skill my other bots can follow.

Every Monday at 8, send me a short status in this chat:
- routines that ran
- anything that failed
- connectors you still need me to approve

What usually goes wrong?

Where agents tend to stall on this job. More patterns in Where AI gets stuck.

  • It can message your other bots, but it cannot log in to a new service for you. If a connector needs a password or a prompt, you still have to approve it.

Common questions

What is an AI chief of staff?
One main bot that remembers your connectors and routines and hands a job to another bot when that bot is the better fit.
Can one AI bot manage your other bots?
It can message them. You tell the main bot their names and what each one does. They each keep their own chat and memory.
How do I organize AI routines in one place?
You ask the main bot to remember them, and you ask for a Monday note: what ran, what failed, and what still needs you.
Can my AI bot text me?
Not that we've verified. You talk to it in the app chat, and if you connect Slack it can message you there.

Where should you go next on this site?

What tips make it smoother?

  • Keep the main bot for routing. Let the specialist bots do the narrow jobs.
  • Say the routine in a sentence. "Every weekday at 8, send me..." is enough to create one.
  • A shared computer means a login you set up once can still be there next week. You still approve anything that sends or spends.

Where do the claims come from?

Summaries use public sources linked below, not independent verification. How setups are picked.

Related setups

  • Morning inbox briefing and multi-inbox triage

Start the day with a short “what needs you” note, and periodically sort multiple inboxes into reply vs FYI vs junk, with drafts for your approval, not auto-send.

  • Run a 15-minute AI weekly review

Close each week by talking through wins, drains, and open loops with voice mode while the AI takes notes, then get a drafted plan for next week instead of a blank Monday.

  • X content research bot

Every morning at 7, a bot searches the last day of public X posts in your niche and sends you post ideas in chat.
