What does this setup do?

Turn a customer's order status email and the real order status into a short, accurate reply with the tracking link and the next step, ready for you to send.

Who is it for?

Online stores and makers who get the same shipping question every day and want fast replies that never promise a date the carrier did not give.

How do you set it up?

Tools

  • ChatGPT or Claude
  • Your store's order page or export with status and tracking

Steps

  1. Copy the customer's email and the order's status, carrier, tracking link and last scan from your store or carrier page.
  2. Paste both into the prompt below. The AI may only use what you pasted.
  3. Check the draft's order number, tracking link and any date against the order page.
  4. Send it from your own inbox.
  5. If many orders are stuck at once, paste the list and ask for one reply template plus a line per customer.
  6. Save your best reply as a template in your project so tone stays consistent.

Example output

Illustrative. Your results will differ.

  • Hi Sam, thanks for checking in on order #4417.
  • It shipped Oct 30 with UPS and was last scanned in Hartford on Nov 1.
  • Track it here: [link]. UPS estimates Nov 4.
  • If it has not arrived by Nov 6, reply here and we will sort it out.

- Never promise a delivery date unless the carrier gave one; if so, say it is the carrier's estimate.

What usually goes wrong?

Where agents tend to stall on this job. More patterns in Where AI gets stuck.

  • The AI invents a delivery date. The prompt forbids it; still check before sending.
  • Pasting the wrong order next to the customer's email.
  • Promising a refund the policy does not offer.

Which chat tools work with this prompt?

Paste the prompt into any of these assistants (free or paid tiers).

Common questions

Can AI answer where-is-my-order emails automatically?
It can draft them from the real order status. Keep sending manual or behind approval so a wrong order number never goes out.
What if the package is lost?
Paste your lost-package policy and ask for a reply that states the next step from that policy only.
Should I paste customer details into an AI chat?
Paste only what the reply needs: first name, order number and status. Leave out addresses and payment details.

What tips make it smoother?

  • Paste the carrier's own wording for delays; it keeps the reply accurate.
  • Keep your late-or-lost policy in a project file so you do not paste it every time.
  • For an angry customer, ask for a version that starts with the fix, not the apology.
