Quick answer
Export each month of bank and card transactions as CSV, remove account numbers, and have the AI suggest categories, flag duplicates and list what needs a receipt. Fix the flags yourself, then give your bookkeeper the sorted file and the questions list. Less mess usually means fewer billable hours.

What does this setup do?
Sort months of bank and card exports into categories with AI, flag duplicates and missing receipts, and hand your bookkeeper a cleaner file to cut catch-up fees.
Who is it for?
Owners months behind on books, often across several businesses, facing a catch-up or clean-up bill.
How do you set it up?
Tools
- Bank and card CSV exports, month by month
- Claude or ChatGPT with file upload
- Your chart of accounts or category list
Steps
- Export each month as CSV per account. Delete account numbers and keep date, description and amount.
- If you run several businesses, keep each one's files separate and say which business they belong to.
- Upload one month at a time with the prompt below.
- Work the flags: find receipts, answer the questions, split mixed personal and business charges.
- Keep records. The IRS says to keep records that show income and expenses, generally at least 3 years, and employment tax records at least 4.
- Give your bookkeeper the sorted file and the open questions, and ask for a quote on the remaining work.
Example output
Illustrative. Your results will differ.
- March, Rental LLC: 84 transactions, 71 categorized, 9 REVIEW, 2 DUPLICATE, 2 PERSONAL?
- Receipts needed: 6 (Home Depot $412, Lowe's $188...)
- Question: is the $1,200 transfer on Mar 14 an owner draw or a loan?

- Uploading a year at once and getting sloppy results.
- Mixing two businesses in one file.
- Treating AI categories as final; your bookkeeper still reviews.

Common questions
- Can AI catch up my bookkeeping?
- It can sort and flag months of transactions so your bookkeeper starts from a cleaner file. A person still reviews.
- Will it lower my bookkeeper's bill?
- Often it reduces the hours spent sorting. Ask your bookkeeper for a quote on the cleaned-up file.
- Is it safe to upload bank data?
- Remove account numbers, check your AI data settings, and upload only the columns you need.
What tips make it smoother?
- One month and one business at a time keeps mistakes small.
- The questions list is what saves your bookkeeper's time.
- Fix the cause too: a separate business card stops the mess repeating.
