What does this setup do?
Draft a check-in, house rules and FAQ reply set for Airbnb guests, save it as quick replies, and send each one yourself after a quick check.
Who is it for?
Airbnb hosts who answer the same guest questions again and again. Use it for questions only. Do not paste guest names, door codes or lockbox codes into a chatbot. Put codes in Airbnb's own details or check-in fields.
How do you set it up?
Tools
- An Airbnb host account on desktop
- ChatGPT or Claude to draft the wording
- Your house rules and check-in steps, written out
Steps
- List the 8 to 10 questions guests ask most, from your last month of messages with names removed.
- Write down the true answer to each one: check-in steps, house rules, parking, Wi-Fi, checkout, quiet hours.
- Use the prompt below to draft one short reply per question. Replace any code or password with a placeholder.
- Read each draft against your real rules. Fix anything that adds a rule you do not have.
- In Airbnb, click Messages, then Settings, then Manage quick replies, then Create. Name the template, write the message, choose the listing and click Save. Airbnb says you can insert details that fill in guest and listing information.
- To use one, open the guest's thread, click the quick reply icon next to the message box, pick the reply, edit it and click Send. Do not schedule these. Scheduling is covered by the setup linked below.
- Airbnb says messages have a 4,000 character limit, so split anything longer into two quick replies.
Example output
Illustrative. Your results will differ.
- Hi [GUEST FIRST NAME], check-in starts at 3 PM. Parking is in the driveway, two cars.
- Quiet hours are 10 PM to 8 AM. Thank you for keeping the noise down.
- Checkout is 11 AM. Please start the dishwasher and lock the door behind you.

What usually goes wrong?
Where agents tend to stall on this job. More patterns in Where AI gets stuck.
- A reply that mentions a rule you do not have. Check each draft against your real rules.
- Codes in templates. Use the listing's own check-in details instead of pasting them into a chatbot.
- Details that show as unavailable because the listing field is empty.

Common questions
- Can I save replies in Airbnb?
- Yes. Airbnb's help center describes quick replies you create under Messages, Settings, Manage quick replies, and use from a guest thread.
- Does this send messages automatically?
- No. You pick the reply in the thread, edit it and click Send. Airbnb also offers scheduled quick replies, which this setup does not use.
- Is it safe to paste guest details into a chatbot?
- Leave guest names and codes out. Draft with placeholders and fill them in inside Airbnb.
What tips make it smoother?
- Airbnb says details in a template show as unavailable if the matching listing information is blank, so fill those fields in first.
- Airbnb says every reservation creates a group thread, so everyone on the booking can see your reply.
- Keep each reply to one topic. Short replies get read.
